Writing a gratuity request letter to HR can be a formal and effective way to claim your gratuity amount. Here's a sample letter format and guidelines on how to write one:
  1. Header: Begin with your name, address, and contact details at the top of the letter. Below that, add the date.
  2. Recipient Information: Below the date, provide the name and designation of the HR manager or the appropriate HR contact person.
  3. Subject Line: Write a clear and concise subject line, such as "Request for Gratuity Payment."
  4. Salutation: Address the HR manager or contact person with a polite salutation, such as "Dear Mr./Ms. [Last Name]."
  5. Introduction: In the opening paragraph, mention your position in the company, your tenure, and briefly state the purpose of your letter – to request your gratuity payment.
  6. Body of the Letter: In the main body, provide details about your gratuity entitlement. Mention the specific amount you are owed, the basis for the calculation, and any relevant company policies or labor laws.
  7. Reason for Request: If there are any outstanding dues or conditions that need to be met, explain how you have fulfilled them.
  8. Request for Action: Politely request the HR department to process your gratuity payment. Include any necessary documentation or forms, if applicable.
  9. Contact Information: Provide your current contact information, including an email address and phone number, so HR can reach you easily.
  10. Closing: Conclude your letter with a courteous closing, such as "Sincerely" or "Yours faithfully," followed by your full name and signature.
  11. Enclosures: If you are attaching any documents, mention them below your signature.
